1. Introduction
These Terms and Conditions (“Terms”) govern the provision of block and estate management services
by Optima PM Ltd (“we”, “us”, “our”). By engaging our services, you (“client”, “leaseholder”, “resident”,
or “user”) agree to be bound by these Terms.

2. Services Provided
Optima PM Ltd provides property management services including: collection and administration of
service charges; maintenance and repair of communal areas; management of contractors and
suppliers; compliance with health and safety and legal obligations; and communication with
leaseholders, residents, and freeholders.

3. Client Responsibilities
Clients agree to: provide accurate and up-to-date information; pay service charges and fees in
accordance with their lease or agreement; comply with the rules and obligations in their lease or
tenancy; and treat Optima PM Ltd staff, contractors, and residents respectfully.

4. Fees and Payments
Service charges and management fees are payable as set out in your lease, tenancy agreement, or
management contract. Payments must be made by the due date. Late payments may incur interest or
recovery costs as permitted by law.

5. Contractors and Third Parties
Optima PM Ltd may appoint contractors, suppliers, or professional advisers. We take reasonable care
in selecting such providers but are not liable for their acts, omissions, or defaults, except where required
by law.

6. Limitation of Liability
We are not liable for loss, damage, or inconvenience caused by events beyond our control (e.g., natural
disasters, government restrictions, strikes, IT failures). Our liability is limited as permitted by law.
Nothing excludes liability for death or personal injury caused by negligence.

7. Communication
We may contact clients by post, email, telephone, or resident portal. Clients must ensure we hold
correct and current contact details.

8. Data Protection
All personal data is handled in accordance with our Privacy Policy
(www.optimamanagement.co.uk/privacy-policy). By using our services, you consent to the processing
of your data as described therein.

9. Termination of Services
Either party may terminate the management agreement as set out in the contract or lease. Outstanding
fees or charges must be settled before termination.

10. Complaints
Complaints should be submitted in writing to info@optimapm.co.uk. If unresolved, the matter may be
referred to the relevant redress scheme or regulatory body.

11. Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales.
Disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Updates to These Terms
We may update these Terms from time to time. The latest version will always be available on
www.optimamanagement.co.uk.
